Parents Guide
General Conditions
Making a booking
All bookings are made with Village Camps S.A. (VC), a Swiss company registered in the Canton of Vaud in 1972. A contract exists when VC has received a signed application form by mail, fax, or e-mail. The person signing the Application form warrants to VC that he or she has the authority of each party member (and when a party member is less than 18 years old, the authority of a parent or legal guardian) to contract with VC on behalf of each such member on the basis of these conditions and have agreed to be bound by them. This contract is subject to Swiss laws and jurisdiction in the Canton of Vaud. No additions, deletions, changes or promises may be made relating to these conditions except in writing by an officer or director of VC.
Full payment and refunds	Top
Full payment for the holidays contracted, including extra services, must be received with the application form. For a small supplement, clients may subscribe to our cancellation insurance (see condition 8 below) which entitles them to full refund of all fees paid (excluding the insurance premium). For cancellations made without this insurance, we will retain the following sums:
Up to 30 days before the camp begins - SFr 300 30 days or less before the camp begins - 100% of the final invoice
Events beyond Village Camps’ control	Top
No reimbursements are made for early departures or late arrivals, regardless of the reasons.
Liability	Top
VC is pleased to accept full responsibility for arranging, with reasonable skill and attention, any holiday booked with the company. However, it is not possible for VC to be responsible for any service not directly under the control of VC, such as, but not limited to, ski-lifts, certain hotels, airlines and transportation companies. Accordingly, VC wishes to make it quite clear that it will not, under any circumstances, be responsible for any additional expense, distress, disappointment, loss, damage, injury, accident, delay, inconvenience or irregularity resulting from or attributable to the act or default of any company, firm or persons in connection with the carrying out of such arrangements or bookings or the conveyance of any clients, unless caused by either the proven negligence of, or a proven lack of diligence by VC. Every booking is accepted subject to the conditions imposed by these outside companies or agencies and any claim with respect to such matters must be made against the appropriate principal.
Children's behaviour	Top
Children, while under full supervision of VC, are expected to comply with all VC rules and regulations. VC reserves the right, during their holiday, to send any child home or to his/her parents, if in the opinion of VC the child’s behaviour is incompatible with the general well-being of the camp through his/her negligence of said rules and regulations.
Parents' responsibilities	Top
Parents or guardians accept full financial responsibility for anyone they register in VC (children or adults) for the following reasons:
Damage caused, whether wilful or not, to facilities, equipment, clothing or anything else belonging to or leased by VC. Repatriation expenses for any person having to be sent home or to a designated place, due to illness, accident, misbehaviour or any other reason deemed valid by VC. Any pocket money or any purchase of a personal nature made on behalf of the child for anything not expressly included on the holiday package. Rental or purchase of any equipment deemed essential for a child to enjoy his/her holiday due to their own equipment being unfit, unsafe or missing.
Third party public liability insurance (responsabilité civile)	Top
VC maintains a third party liability policy with Elvia Accidents, Lausanne. This policy provides an indemnity in respect of legal liability to pay compensation for accidental injury to third parties or accidental loss of or damage to their property. The policy is for SFr 5,000,000 per incident.
Optional “no-quibble”cancellation insurance	Top
VC provides an optional cancellation insurance, which offers the complete reimbursement of all fees in the event of cancellation for any reason whatsoever. The following conditions apply:
The cancellation insurance must be requested on the application form – it cannot be added at a later date. All payment conditions must have been met (see conditions 1 and 2, above) The cost of the cancellation insurance itself will not be refunded. VC must be notified of cancellation in writing or by fax at least five days before the camp begins.
For those subscribed to this insurance, the policy provides the complete reimbursement of all camp fees (not including the insurance premium and the cost of VC-arranged transportation) paid to VC for any cancellation up to five days before the start of the camp session in which the family is enrolled, for any reason whatsoever as long as VC is notified in writing or by fax.
Cancellation or modification of programmes	Top
VC reserves the right to cancel or modify any programme or programmes listed in our brochure because of an insufficient number of participants or for any other reason beyond its control. If this rare event occurs, VC will offer clients their choice of an alternative camp programme or full refund of any monies paid.
Promotional materials
VC reserves the right to use any photographs, art work, etc. of the children in any of its future publications.
Medical release
VC shall have full authority to take whatever action it deems necessary to safeguard the health and well-being of the child. Such authority shall include the right of VC to take the action it deems necessary to secure medical treatment for the child at the parent's or guardian's expense.
